Task
- The client was changing the current provider due to the errors, frequent replacement of specialists and problems with their selection, lack of work control by the head of the department providing the services
- Provision of regular OHS services for 3 legal entities of the group of companies
Solution
- Changes in the format of services: provision of 2 implant employees who will introduce OHS system at the client’ site, and a manager who will control their activities.
- Provision of regular OHS services (training, organisation of OHS measures, special assessment of working conditions (SAWC), assessment of occupational risks)
- Support of projects for transfer of employees between the client’s divisions or legal entities: development of documentation, conducting briefings, medical examinations
- Automation of OHS processes. Preparation of terms of reference for the client’s external contractor, testing of solution performance
- A KPI system was implemented based on Unicon Outsourcing quality control system with regard to the services provided to the client to calculate the cost of the function
Result
- The OHS system was brought into compliance with the Russian laws. The documentation on occupational health and safety and fire safety was updated (both in accordance with the requirements of local laws and taking into account corporate global standards), the errors of the previous provider were corrected: unformatted accident investigation cases, non-archived, lost and unsigned documents. 2 OHS audits were successfully completed: an audit by an external company + a corporate audit by a global team
- Automation of generation of reports on SAWC cards in 1C system. Previously, information about the presence or absence of a SAWC card for a workplace had to be searched through Excel registries, which increased the risks of violating the labour legislation of the Russian Federation
- Mass mailings to employees in 1C were automated, for example, about introductory trainings, briefings. Reducing the term of notification about medical examination and sending of referrals from 5 to 1 business day, monitoring of medical examination terms
- Minimisation of violations related to OHS, thanks to the quality control system.
