Objective
- The client changed the current provider due to the frequent turnover of managers and related errors, as well as the lack of monitoring the changes in the Russian Federation legislation
- Switching from another provider without transferring improvements in the database or clarifications regarding specification of calculations
- A copy of the ZUP 8.2 database was provided in an outdated version, without the possibility of the database updating
- Optimising expenses for HR records management and payroll calculation functions
- Automating preparation of HR documents
- Performing audit of business processes for compliance with the Russian Federation legislation and correctness of the provider’s decisions
Solution
- Organisation of parallel settlements in the existing client’s systems (Manufacturing Enterprise Management System for HR records and ZUP 8.2 for payroll calculation) simultaneously with making the necessary settings for transition to ZUP 8.3
- Report generation in a copy of the ZUP 8.2 database due to the impossibility of spot updates of the original database
- Income codes have been brought in compliance with the Russian Federation legislation, types of accruals have been configured in accordance with regulatory by-laws, postings have been finalised as required by the client
- Unicon Outsourcing solution “1C Personal Account” has been implemented to automate personnel processes: to execute applications (for leaves, business trips, overtime work, personal days off, etc.) and their approval by managers. Configured automatic mailing of payroll sheets
- Configured electronic schedule of subordinate employees’ leaves for leave balance analysis
Result
- Eliminated violations of the tax legislation Errors have been found in 6-NDFL (PIT) reporting, the corrected version has been sent to the tax service. The client has been informed of the arrears for Q3 2022
- The risks of violation of the Labour Code of the Russian Federation have been reduced to 0. Correct accounting for leaves has been organised (with due account for extra leave days), shift schedules have been changed, fixed regional premium rates and percentage allowances have been adjusted (a fine – RUB 50 thousand for each employee)
- Cost optimisation per function by 30% by automating HR processes and inspection reports
