Client is a major pharmaceutical holding, joined as a result of the acquisition in 2016. The united company has gained new opportunities for leadership in the market of the orphan drugs development.
In 2016, the company created a new legal entity. Its office is located in Moscow. The number of employees is about 150 people.

Task
- implementation of the ERP system based on 1C, corresponding to the specifics of a pharmaceutical trade company, for a new legal entity,
- creation of a unified information system for the automated support of supply chains, quality assurance, logistics, financial reporting and accounting, HR administration, payroll calculation, including settlements under independent contractor agreements (ICA),
- ensuring the correct and timely formation of corporate reporting and reporting in accordance with the business requirements in the module “Trade Management”, as well as the whole set of the regulatory reporting in compliance with the requirements of the Russian legislation.

- creation of an easy-to-operate and user-friendly IT solution,
- successful testing of the implemented system in regard of compliance with the international pharmaceutical standard.
Task
- The company had to implement the ERP system in order to support financial, HR, logistics and other operations of a new legal entity.
- As part of the project, it was necessary to create an entirely new structure of business processes and to replace the IT solution of a foreign vendor with 1C platform since it is better adapted to the conditions of the local market.
Solution
The employees of Unicon Outsourcing analysed the customer’s business processes and prepared their description. This made it possible to determine the demands of the users, the scope of work and the project specifics more clearly. The obtained information and findings were used as a basis to create the corporate IT system for a new legal entity. 1C platform was selected to be used for the system as it is the leader of the Russian market and the actual standard of the accounting automation. One of the advantages of 1C was that it complies with the actual requirements of the Russian legislation in the field of accounting and HR administration.
The key task of the second project stage was the system implementation and set-up, including for the recording of all logistics operations.
- All procurement, warehouse inventory control and sales, storage and quality assurance of pharmaceutical products were transferred to a new solution on the basis of 1C.
- Pharmaceutical companies, including the client, are characterised by a large volume of independent contractor agreements (ICA). To automate this process, the specialists of Unicon Outsourcing set up the documents processing and calculation of payments under ICAs.
- Moreover, integration with the warehouse management system is automated in 1C, which makes it possible to see the actual amount of warehouse stock and balance on different positions, forecast and actual write-offs, as well as other indicators of essence for the operating activity and reporting.
- In the financial unit, 1C was integrated with Concur, a system for advance report reconciliation, and the interface for transferring the data into the customer’s global financial system was developed to generate auditor’s statements.
- The created solution reflects the maximum scope of information on a wide range of pharmaceuticals and goods: all pharmaceutical attributes, checkpoints of logistics processes, quality assurance, sales, returns of pharmaceutical products and many more.
An additional task was set in the course of the project implementation: as requested by the client’s head office, the created solution had to pass the test for compliance with the international pharmaceutical standards. The implemented modular solution passed the test successfully, and the system was put into industrial operation in time.
Result
On 01 July 2016, the new system was first used for shipments by the Russian office of the client. The solution, developed by Unicon Outsourcing, was put into full-scale commercial operation in September 2016. Due to the performed data reconciliation and data cleaning from duplicated and outdated information, the employees have the most accurate and latest data, which facilitates and accelerates their work.
The implemented Unicon Outsourcing system has not only become one of the first industry solutions for the pharmaceutical market in Russia, but has also confirmed its compliance with the GDP (Good Distribution Practice).
