Transition to 1C, payroll calculation, and personnel administration

Objective

  • The client wanted to change the provider due to errors and lack of proposals on process efficiency improvement ​
  • Application of an outdated accounting system – lack of system updates prevented from prompt responding to changes in the legislation and resulted in violations of the Labour Code of the Russian Federation
  • Transition from the Scala System to 1C due to software support failure ​

Solution

  • Transition to 1C ZUP 2.5 with data integration into the client’s accounting system (SIL) ​
  • Unification of all processes (for 9 legal entities), setting up print forms and special reports to analyse staff leave balances ​(over 11 thousand employees)​
  • Correction of errors in leave balances made by the former provider: identified cases of provision of additional days of paid leave in disregard for the provisions of the Labour Code of the Russian Federation​
  • Development of labour contract templates for all positions and all departments (about 3,000 templates) ​
  • ​Automation of payment order processes by means of OCR technologies (configured uploading of entries, payments of stand-alone subdivisions, mailing to debtors)​

Result

  • HR function costs optimised ​by 23% due to configured leave balance analytics ​
  • Less time for HR documents preparation Issue of an emergency termination of employment within 20 minutes (which typically takes 1 hour)​
  • Minimisation of manual entry errors thanks to ready-made templates. Upon request, the template is uploaded from 1C to the FTP server, where the client can take the document and pass it to the new employee for signature before the start of the first working day​
  • Exclusion of fines imposed by the labour inspectorate due to timely signing of documents at admission to a job​
  • In 10 months, data integration into SIL from 1C has been set up, and all HR-related processes for all legal entities have been unified and automated​
  • Reduced cost of the payroll calculation function by 2.2 times​
  • Minimisation of errors in payment orders due to automated data entry and a customised control system (+ distinguishing an employee responsible for reconciliation)​
