Problems and objectives
- Imposition of sanction restrictions on the current provider
- The DirectPay (ADP) system, which was used in payroll calculation, is no longer supported in Russia
- Transferring the payroll calculation and HR records management function to another provider which is not subject to sanctions and has international experience (as requested by the head office)
Solution
- The company was offered to combine HR data from ZUP 2.5 and calculation part from DirectPay (ADP) in the new 1C ZUP 3.1 system. Due to the fact that the previous provider has failed to timely transfer historical data for download, maintaining the payroll calculation continuity has become the priority
- To minimise the risks of late payments only the necessary HR and calculation data were transferred to the new system during Phase 1. Until data transfer by the previous provider, the average earnings were calculated based on the fixed salary with a coefficient
- At Phase 2, calculations were restored from the beginning of the year for equivalent report generation in ZUP 3.1
Result
- The seamless transfer of data from two historical systems to ZUP 3.1 has been completed in 3.5 months, the standard solution (HR part) and the solution developed according to own methodology (calculation part) have been successfully combined
- Payroll has been calculated on time: the risks of penalties for late payments and reputational risks (negative reaction of employees, dismissal of key employees) have been eliminated
- Risks of fines for late reporting and incorrect data have been eliminated
- Errors associated with data migration and synchronisation have been reduced to 0 thanks to the use of a unified accounting system
