About the client:
The 36.6 Drugstore Network is a large retail network operating in Russia, selling beauty and health-related goods.
Challenge:
By the end of the year 2006, the 36.6 Drugstore Network held the first place among Russia's pharmaceutical networks, included 838 drugstores and continued growing. The so fast growth caused difficulties with the efficiency of HR administration and payroll accounting. The administration of the network decided to outsource these functions. The service provider had to set up a system of payroll accounting and personnel administration for companies operating in over 20 regions of Russia.
Besides, the Unicon Outsourcing had to accomplish another far from a simple task, namely, to automate the calculation of all payments provided for in the system of incentives. The system included a total of over 40 various kinds of incentives. The outsourcing of the calculation of bonuses is way out of the ordinary because the system of incentives is a part of personnel administration not always easy to outsource.
Solution:
The project began with an analysis of the client's business requirements, the current infrastructure and the systems inherited by the client. Earlier, the client's personnel administration, payroll accounting and the calculation of incentives had been done with the use of the "Alfa Personnel and Payroll" software.
However, that system could not quite handle the load, which was the reason why the company decided to switch to the "1S: Payroll and Personnel Administration 8.0" software.
While setting up the new system, the Unicon Outsourcing project group also began migrating data to another database. Remote access was set up for a number of employees to enable them to generate real-time reports.
Unicon Outsourcing professionals set up a system of motivating employees to make their work more efficient. Also, new regulations concerning the processing of personnel documentation were developed.
In order to exclude the possibility of errors while calculating payroll and bonuses, and assure the reliability of the functioning of the system, for a month after the setup of the 1S system and the migration of data, the Unicon Outsourcing crew simultaneously used the two software system while doing all calculations.
Result:
The project resulted in the setting up of an efficient system of HR administration and payroll and bonuses accounting. The software was adjusted to the requirements of the 36.6 Drugstore Network to allow the generation of any reports the company might need for completing analyses and making administrative decisions.
