About Customer:
20th Century Fox film corporation is one of the six major American film studios. They also produce TV series. 20th Century Fox СНГ (CIS) company is a local branch of 20th Century Fox in ex-USSR countries.
Challenge:
20th Century Fox had a goal to optimize HR administration and payroll and to reduce risks associated with labor law legislation. Besides that, the client wanted to reduce the workload on their finance department and HR department in order to free up some time and staff for primary tasks of the company.
The policy of the main office of 20th Century Fox contemplates outsourcing HR management and salary calculation. However, after establishing a legal entity in Russia, the company’s accounting department implemented that work itself for a while. After a tender the company chose two providers for different activities. The payroll was contracted out to Unicon Outsourcing.
Solution:
During the preparatory stage, Unicon Outsourcing experts analyzed current processes in the company concerning compilation and input of the data required for payroll. Based on the data Unicon Outsourcing team compiled a plan of customer-provider interaction which made it possible to optimize internal processes in compliance with the laws of the Russian Federation. Beyond that, the data required was transferred into 1C data base where the necessary calculations are carried on. Some operations made by the customer’s specialists were performed within a program based on IBM Lotus software. Therefore the provider’s programmers adjusted the necessary accounting entries so that the data automatically transformed into the format required and was transmitted from one system to the other. Later the company made a decision to start working within 1C system and the transfer was performed with the assistance of provider’s specialists.
While outsourcing some functions, the company contracted out the payroll and HR administration to different providers. That caused some problems: interaction with different contact persons complicated communication and resulted in document losses; moreover, work within different accounting systems resulted in increasing manual work which raised the error rate.
After all, having worked in such a mode for 2 years, the customer decided to contract out the both functions to the same outsourcing company. Unicon Outsourcing won the tender. Before starting regular HR management service, Unicon Outsourcing team performed an audit of the customer’s documents available. They revealed some discrepancies in the processes and brought them into compliance with the laws of Russian Federation.
Result
All payrolls and HR documents are kept in a unified system. Payroll and HR administration have been optimized. The risks associated with incorrect labor law enforcement have decreased. All the HR documents and reports are presented in time; all the payments are made on the due date. The workload on the HR and accounts department has been reduced enabling the company to free up some resources in order to solve the prior company’s tasks.
