On 28 April, BDO Unicon Outsourcing held online meeting on the subject: Switching Over to Electronic Document Management. Things to Consider in the Current Conditions. During the activity, Galina Shablinskaya, Deputy General Director for Operations Development, BDO Unicon Outsourcing, and Anna Sinyakova, Chief Accountant of Nissan Manufacturing Rus LLC business unit, explained how to switch over to EDM when most of the employees work from home, how not to be in breach of the information security policy, and how to maintain the company’s core business processes by structuring relations with outside counterparties and employees of a multi-level company.
Prior to the spread of the coronavirus disease, multiple companies in Russia had already launched a transition to the electronic document management. However, the flaws in the system and high costs associated with the transformation of the business processes made it impossible to abandon the hard copy completely. In addition, these factors constrained the companies that had doubts in the practicality of switching over to EDM.
Due to the self-isolation regime, most companies ordered their employees to work from home. These changes forced companies to switch over to EDM expediently, notwithstanding their original document management plans. Urgent measures gave rise to numerous questions concerning the best provider to be selected for the transition and the ways to solve the employees’ personal data problem and obtain an electronic digital signature.
