BDO Unicon Outsourcing, one of the leaders in the business process outsourcing market, has presented its HR bot for Viber users. Using this solution, one can have payslips, learn how many unused holiday days are left and look at the occupational calendar. The HR bot helps employees gain fast access to the information they need, and reduces the workload for the HR and accounting departments by up to 20%.
The company had the idea to develop a tool enabling fast information access at any time as early as in 2018. Payslips were sent to the employees of BDO Unicon Outsourcing by email, but the company employees were frequently losing their document passwords or deleted them from their emails and then requested the same from accountants. This was the case regarding the number of holiday days: colleagues used to forget how long a holiday they could take, checked that information with the HR department employees and refiled their holiday applications. Overall, it took a lot of time both for those who requested such information and those who provided it.
These problems were resolved by means of the HR bot originally developed as a Telegram-based solution. That tool appeared to be convenient, safe and inexpensive. The HR bot has remote access to the 1C system so it can find the necessary information and deliver it to the employee. The programme does not store any of the employee data, which is only loaded when the employee makes a request. The information provided by the HR bot is secured. Only the employee whose phone number is registered in the system can request access. Besides, this setting does not require any additional licenses to be bought and is easily integrated with the entity’s accounting system.
Viber is the second most popular messenger in Russia, so BDO Unicon Outsourcing decided to make its HR bot available for the users of that application, too. Thus, the company wants to give its clients an opportunity to choose the right messenger.
Primarily, that tool was developed only for the employees of BDO Unicon Outsourcing and did quite well before long: the number of inquiries about the number of holiday days available and payslip password requests was reduced from 30 to 4 a month, which resulted in saving a few hours for the HR manager and the accountant. Now the company offers this solution to its clients, as well. Customers note that after the implementation of the bot their HR and accounting departments need not to be distracted by the employee requests and can focus on more important tasks, and their colleagues monitor the number of their holiday days themselves, which reduces the likelihood of paying lump-sum dismissal compensations by companies.
